Job Profile :

  • Ensure efficient and cost effective management of all space and facilities;
  • Design, plan, manage and maintain all areas of campus, to an agreed standard, that is conducive to excellence in learning and teaching;
  • Provide effective leadership to the facility team by taking responsibility for financial and project management;
  • Plans, organizes, coordinates and direct all activities and personnel engaged in maintaining and operating the facility;
  • Schedule, plan, organize and manage staff responsible for maintenance, repair, and upkeep of building and facilities;
  • Manage, supervise, schedule, and train all staff. All staff should remain in compliance with applicable university policies and regulations;
  • Prioritize organizational needs, complaints, work orders, coordinating with other department to schedule a time frame for completion and scheduling work assignments;
  • Collect and maintain all necessary documentation prior to event (catering, insurance, contracts, deposits, etc.);
  • Ensure compliance with applicable codes, laws, rules, regulation, standard, policies and procedures;
  • Ensure health and safety obligation are complied with by facility staff and independent contractors;
  • Point of contract for internal and external groups using facility; display excellent verbal and written communication skills (high energy, very presentable, outgoing, responsible);
  • Manage contract for maintenance service provided by outside vendors if required;
  • Coordinate project and work activities with other department , contractors, consultant, outside agencies, or other as needed;
  • Resolve construction related problems, disputes and compliance issues;
  • Coordinate procurement of equipment, supplies and materials to perform required duties effectively and efficiently;
  • Prepare and complete various forms, report, correspondence, purchase order, budget documents, plans, records and presentation;
  • Promotes the use of the facility to maximize its utilization;
  • Negotiates rental agreements as determined necessary and in the best interest of the university;
  • Read and interpret construction drawing, blueprints, codes and specs;
  • Establishes and maintains effective working relationship with government departments and agencies and other academic institute;
  • Assure the coordination, implementation and administration of specific plans and programs prescribed by university directives, to include: matters of training and development; quality assurance; energy efficiency; safety/ emergency procedures, crowd control and crisis management procedures or other areas as needed;
  • Ensure financial management of the facilities annual operating budget including compliance with financial delegation;
  • Manage major and minor building project;
  • Ensure proper lighting, electricity, ventilation, air-conditioning etc. in allall parts of the campus;
  • Ensure highline and cleanliness in the entire campus;
  • Ensure efficient and effective Garden maintenance, and services like Canteen, Cafeteria, Gymnasium, Security and House Keeping;
  • Receive ordered goods and material, stores management, transport management, mail, courier and stationery ordering function;
  • Any other duties assigned by the University authorities to achieve the aims and objectives of the University.
